Who we are
Barnstaple Green Burial is run by Geoff and Rose Gillard. We are responsible for any personal information you share with us (in data protection law, we are the "data controller").
What information we collect
We only collect information you choose to give us, when you use our enquiry form, email us, phone us or visit the site. This may include:
- Contact details: your name, email address, telephone number and how you prefer to be contacted.
- Your enquiry: what you would like help with, such as a site visit, reserving a plot or information about burial, and anything you write in your message.
- Burial and reservation details: if you go on to reserve a plot or arrange a burial, the names of the people involved, the plot chosen, dates, and payment records.
When people contact us, they sometimes tell us about a death, an illness or their religious or personal wishes. Please only share what you are comfortable with. We will use it solely to help you and will treat it with care.
Our website does not use cookies, analytics or tracking tools, and does not store the information you type into the enquiry form.
How our enquiry form works
When you press "Send Enquiry", your own email program opens with your details filled in, ready for you to send to us. Nothing is sent until you press send in your email, and your details are not saved on our website.
Why we use your information
- To reply to your enquiry and answer your questions.
- To arrange site visits and talk you through your options.
- To reserve plots, arrange burials and keep accurate records of who is buried where.
- To take payments and keep the financial records we are required to keep by law.
We use your information because you have asked us to help you, or because we are arranging a reservation or burial with you. We also keep some records because the law requires it.
We will never sell your information, and we will not send you marketing or newsletters.
Who we share it with
We do not share your information with anyone except where needed to help you, for example a funeral director you have asked us to work with, or where the law requires it.
We use a small number of trusted services to run our business:
- Google (Gmail) stores the emails you send us.
- Hostinger hosts our website.
- Google Fonts supplies the typefaces on our website. Your browser connects to Google to load them, which shares your IP address with Google.
Some of these services may store data outside the UK. Where they do, they use legal safeguards approved under UK data protection law.
How long we keep it
- General enquiries that don't lead to a reservation or burial are deleted within two years of our last contact with you.
- Plot reservations and burial records are kept permanently. A burial ground has to keep a lasting record of who is buried in each plot, both for families and for legal reasons.
- Payment records are kept for six years, as required for tax purposes.
How we keep it safe
Our website uses a secure (HTTPS) connection. Our email account is protected with a strong password and two-step verification, and only the family members who run the burial ground can access your information.
Your rights
You have the right to:
- ask for a copy of the information we hold about you;
- ask us to correct anything that is wrong;
- ask us to delete your information, where we don't need to keep it by law or for burial records;
- object to how we use your information, or ask us to limit it.
To use any of these rights, just phone or email us using the details above. There is no charge, and we will reply within one month.
Making a complaint
If you are unhappy with how we have handled your information, please talk to us first and we will do our best to put it right.
You can also complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk/make-a-complaint or by calling 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it was last changed.
